Privacy Policy

This Privacy Policy explains how personal information is collected, used, protected and shared when you use WhyLightWorks, register for access, use customer or team areas, complete forms or choose to use the Health Tracker.

1. Who is responsible for your information?

WhyLightWorks is operated under the trading name Independent LifeWave Brand Partners.

We are independent LifeWave Brand Partners. We are not LifeWave corporate, and WhyLightWorks is not an official LifeWave corporate website.

We do not sell personal information to advertisers or other organisations.

2. Adults only — 18+

WhyLightWorks is intended for adults aged 18 or over.

Registration, protected education areas, customer and team areas, the Health Tracker and business opportunity information are not intended for anyone under 18.

We do not knowingly create protected-access accounts for, provide the Health Tracker to, or intentionally collect personal information from anyone under 18.

If we become aware that an account or information relates to someone under 18, we may restrict the account and delete or anonymise the information where appropriate.

3. What information we may collect

We do not collect all of the information listed below from everyone. What we hold depends on which part of WhyLightWorks you choose to use.

If you simply browse the public website

We may receive limited technical information needed to operate and protect the website, such as your IP address, browser/device type, security events and cookie information. If you arrive through a referral link, the referral or introducer code may also be remembered so the correct Brand Partner relationship can be preserved if you later register.

If you request free access or create a customer account

We may collect information such as:

  • Your name.
  • Your email address.
  • Your mobile or WhatsApp number where requested.
  • Your country or general location area where relevant.
  • Your login information and membership/access level.
  • The referral or introducer code you used and the Brand Partner connected with your account.
  • Your customer type and account/support status where applicable.
  • Information you choose to provide through forms, enquiries or customer-support tools.
  • Relevant support notes added in the course of providing customer support.

If you choose to become a Team Member / Brand Partner

Additional information is needed only because you have chosen to use the business, referral and team-support features. This may include:

  • Your sponsor, mentor and team relationship information.
  • Your own WhyLightWorks referral code and referral links.
  • Your profile photo or other team profile information if you choose to provide it.
  • Your official LifeWave customer/order link if you choose to add it.
  • Your Telegram Chat ID if you choose to connect Telegram notifications.
  • Team, lead, customer and support information needed for the tools available within your account.

If you choose to use the Health Tracker

The Health Tracker is optional. If you use it, we process the health and wellbeing information you choose to enter, together with your privacy choice for each check-in. Because this can include health information, it is explained separately in sections 7–9 below.

We aim to collect only information that is relevant to the particular service, access, support or feature you have chosen to use.

4. Where information may come from

Most information is provided directly by you, for example when you register, complete a form, update your profile or use the Health Tracker.

Some information may also come from:

  • the referral link or introducer code used when you first visit or register;
  • your Brand Partner, sponsor or mentor where they add legitimate customer or support information;
  • website administrators where account or access information needs to be corrected or maintained; or
  • technical systems used to operate, secure and troubleshoot the website.

5. How we use personal information

  • Create and manage your WhyLightWorks account.
  • Provide public, prospect, customer or team access.
  • Remember and preserve the correct Brand Partner, introducer, sponsor or mentor relationship.
  • Display the correct Brand Partner support or official ordering information.
  • Provide customer support, team support and account administration.
  • Send access emails, login messages and important service/account communications.
  • Send optional follow-up or marketing communications where the appropriate permission exists.
  • Operate customer/team tools, notes and referral features.
  • Operate the optional Health Tracker where you expressly choose to use it.
  • Send Telegram or email notifications where those features are enabled.
  • Protect the website, investigate misuse, maintain security and troubleshoot technical problems.
  • Meet legal, regulatory, accounting, record-keeping or dispute-handling obligations where applicable.

6. Our lawful bases

UK data-protection law requires us to have a lawful basis for using personal information. The basis depends on what information is being used and why.

Sharing a Health Tracker check-in with your Brand Partner/mentor. Your separate choice/consent to that sharing.
Records we must keep because the law requires it. Legal obligation.

The precise lawful basis may depend on the context. We keep our processing under review and should use the basis that most closely reflects the purpose of the processing.

7. Health Tracker — special-category health information

The Health Tracker is an optional feature that allows you to record your own observations over time. Depending on what you enter, this may include information about wellbeing, mobility, clarity, energy, stamina, strength, recovery, discomfort, sleep, stress, mood, headaches, brain fog or other health/wellbeing observations.

Information about health is treated as special-category personal data under UK data-protection law and receives additional protection.

Before a Health Tracker check-in is saved, you must expressly consent to WhyLightWorks storing and processing the health and wellbeing information you choose to enter.

You do not have to use the Health Tracker in order to browse ordinary website content or use other customer resources.

We ask you to enter only the information you genuinely want to record. The Health Tracker is for personal observation and general customer support; it is not a medical record, diagnostic system or clinical assessment.

8. Your Health Tracker privacy choice

Each Health Tracker check-in gives you a clear choice:

  1. Share the check-in with your Brand Partner / mentor; or
  2. Keep the details of that check-in private from your Brand Partner / mentor.

If you choose to share

Your Brand Partner / mentor may be able to see the information you entered so they can use it when supporting you.

If you choose to keep it private

Your Brand Partner / mentor will not receive or be shown the health and wellbeing answers contained in that private check-in. They may still see that the Health Tracker was completed, the check-in stage and the date/time of completion.

A private check-in remains private from your Brand Partner / mentor even if you choose to share a later check-in. Your privacy preference may be changed for future check-ins.

Website administrators or technical service providers may still have limited technical access to stored data where this is genuinely necessary to operate, secure, back up, maintain or troubleshoot the platform. They should not use private Health Tracker content for ordinary Brand Partner support where you have chosen not to share it.

9. Withdrawing Health Tracker consent

You can withdraw your consent to future Health Tracker processing at any time. You can also ask us to review, delete or restrict tracker information where applicable.

Withdrawing consent does not make processing that took place before withdrawal unlawful.

10. Who information may be shared with

  • Your referring Brand Partner, sponsor, direct mentor or support person where appropriate and permitted.
  • Website administrators who need access to operate, secure or maintain the website.
  • Hosting, email, membership, security, forms, database, backup or notification service providers.
  • Telegram, WhatsApp, Zoom, Google services or other communication tools where you choose to use those features.
  • Video or media providers such as YouTube, Vimeo or Wistia when their content or services are loaded.
  • LifeWave or official LifeWave systems when you choose to follow an official LifeWave link or place an order through an official LifeWave system.
  • Professional advisers, insurers, legal advisers or authorities where reasonably necessary or legally required.

We aim to share only the information reasonably necessary for the relevant purpose.

A Health Tracker check-in marked private is not shared with your Brand Partner / mentor beyond the limited completion information explained in section 8.

11. Service messages and optional marketing

Some messages are necessary to provide the service you requested, for example:

  • registration and access emails;
  • password or login messages;
  • important account or security notices; and
  • support messages connected with your account or enquiry.

These are different from optional marketing or promotional communications. Where consent is required for marketing, it should be requested separately.

You may withdraw marketing consent or object to direct marketing at any time.

12. Cookies and similar technologies

Cookies are small files or similar technologies used by websites to remember information, keep accounts secure, support logins and provide website functionality.

WhyLightWorks may use essential cookies or similar technologies for:

  • login and account security;
  • membership access and protected pages;
  • remembering referral/introducer information;
  • form and website security; and
  • other functionality necessary to operate the website.

Optional technologies may also be used where enabled, for example analytics, embedded video/media, social features or other third-party services.

Where non-essential cookies or similar technologies require consent, they should only be activated after the appropriate consent has been given.

Some embedded media may be configured to load only after you interact with it, which can reduce unnecessary third-party connections before you choose to play the content.

You can also control cookies through your browser settings, although blocking essential cookies may stop login, membership or other parts of the website from working properly.

13. Third-party websites and services

WhyLightWorks uses or links to third-party services that operate independently. Their privacy practices are governed by their own policies.

Examples may include website hosting, WordPress services, membership tools, email delivery, YouTube, Vimeo, Wistia, Telegram, WhatsApp, Zoom, Google services and official LifeWave systems.

When you choose to use an external service or follow an external link, please review that provider’s privacy information if you want to understand how it handles your information.

14. International transfers

Some technology and service providers used by WhyLightWorks may process or store personal information outside the United Kingdom.

Where UK data-protection law requires safeguards for an international transfer, a lawful transfer mechanism should be used. Depending on the destination and provider, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another legally permitted safeguard.

15. How long information is kept

We do not aim to keep personal information longer than necessary. Retention depends on the type of information and why it is held.

  • Prospect/access accounts: kept while needed to manage access, the referral relationship, security and reasonable follow-up, then reviewed for deletion or anonymisation.
  • Customer/team records: generally kept while the account or support/business relationship is active and for a reasonable period afterwards where needed for administration, disputes, security or legal obligations.
  • Health Tracker information: kept while you choose to use the tracker and until it is no longer needed, you withdraw consent/request deletion where applicable, or the account is appropriately closed, subject to lawful backup or record-keeping requirements.
  • Consent records: may be kept for as long as reasonably necessary to demonstrate when and how consent was given or withdrawn.
  • Security/technical records: normally retained for the period reasonably needed for security, troubleshooting and service administration.

16. How we protect information

We take reasonable technical and organisational steps to protect personal information, including restricted access, login protection, website security controls, appropriate account permissions, backups and the use of reputable service providers.

No online system can be guaranteed completely secure. If we become aware of a personal-data breach, we will assess it and take the steps required by applicable data-protection law.

17. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask for access to the personal information we hold about you;
  • ask for inaccurate information to be corrected;
  • ask for information to be deleted where the law gives you that right;
  • ask us to restrict certain processing;
  • object to processing based on legitimate interests;
  • object to direct marketing at any time;
  • receive certain information in a portable format where the right to data portability applies; and
  • withdraw consent at any time where processing relies on consent.

Rights are not absolute in every situation. We may need to verify your identity before acting on a request.

18. Automated decision-making

WhyLightWorks does not currently use personal information to make solely automated decisions that produce legal effects or similarly significant effects about you.

Referral routing, access rules, reminders, alerts and account automation are used to operate the website and support users; they are not intended to make significant legal or financial decisions about you.

19. Complaints

If you are unhappy about how your personal information has been handled, please contact us first so we have an opportunity to investigate and put things right.

You also have the right to complain to the UK data-protection regulator, the Information Commissioner’s Office (ICO).

20. Changes to this Privacy Policy

We may update this Privacy Policy when the website, law, technology or the way we use information changes.

The current version will be published on this page. Where a change is important to registered users, we will take reasonable steps to make it clear.
